REPORTS TO: HUYNH PHUC YEM THONG
INCUMBENT: OPERATION MANAGER
* BASIC JOB PURPOSE:
- To lead and manage the process improvement on defect reduction in Production to support the Plant achieve efficiency, productivity, customer satisfaction and long-term sustainability.
- To ensure and maintain a safe work environment.
- To provide general support to IT system users & training activities in Multi-Color Vietnam.
* KEY RESULT AREAS (KRA’s):
1. IMPROVEMENT
1.1. Activities:
1.1.1. Understanding existing processes.
1.1.2. Introducing process changes to achieve organizational objectives which are usually focused on quality improvement, cost reduction, waste reduction and speed increasing.
1.1.3. Maintain a detailed and standardized batch records in Excel, starting with the Production output report, on production parameters, process variables and results.
1.1.4. Investigate, document and coordinate with Operation Manager and other Managers to reduce variability in processes.
1.1.5. Develop an understanding of technical, terminology and processes, to be able to effectively deploy continuous improvement tools and drive improvement.
1.1.6. Organize and present data and charts for Production report and department meetings.
1.1.7. Develop One Point Lessons in MS Power Point to facilitate understanding, reduce variability and errors in operations.
1.1.8. Develop training content for the understanding of CI tools and for specific operational and business processes.
1.1.9. Participate in Shift handover and Department meetings to share CI activities and results.
1.2. Key Performance Indicators (KPI’s):
1.2.1. Quality improvement.
1.2.2. Cost reduction.
1.2.3. Waste reduction.
1.2.4. Speed increasing.
1.3. Measures:
1.3.1. Production output report
2. TRAINING
2.1. Activities:
2.1.1. Compose, translate all documents, instruction of company, suppliers that relating to production activities and update new instruction / policy to staff in relevant department.
2.1.2. Train all policy, procedure & OJT for new staffs in production such as: Supervisor, Printer, Printer Assistant & Pitlane…
2.1.3. Prepare training plan and keep all training reports for Operation staffs such as: Production, Supply chain, Maintenance, Prepress, …
2.1.4. Do monthly report for Operations Manager.
2.1.5. Other project as assigned by Operations Manager.
2.2. Key Performance Indicators (KPI’s):
2.2.1. Timely and accurate completion of all requested tasks or projects.
2.3. Measures:
2.3.1. Training report
2.3.2. Production output report
3. SAFETY & HEALTH
3.1. Activities:
3.1.1. Be a chairman of SHE committee.
3.1.2. Ensure all safety appliances are available and utilized by operators.
3.1.3. Ensure all safety equipment are in well function.
3.1.4. Conduct safety audit and spot check.
3.2. Key Performance Indicators (KPI’s):
3.2.1. To maintain a safe working environment in office and factory.
3.3. Measures:
3.3.1. Audit results.
3.3.2. Safety report
4. IT
4.1. Activities:
4.1.1. Install and configure new IT assets (software and hardware).
4.1.2. Assist with the maintenance of the network and all existing IT equipment.
4.1.3. Inform using email, phones, etc; software updates, system shutdowns, warning messages, virus warnings etc.
4.1.4. Engage in housekeeping activities (updates, patches, PC maintenance, etc)
4.1.5. Offer suggestions on hardware and software enhancements that may improve
user productivity and efficiency.
4.1.6. To ensure reliable service of IT hardware and software to all staffs.
4.1.7. Ensure hardware and software integrity.
4.2. Key Performance Indicators (KPI’s):
4.2.1. Software application up to date
4.2.2. Efficiency of anti-virus software
4.3. Measures:
4.3.1. Asset List(IT list)

* SKILLS REQUIRED:
- Time management
- Planning & organizing skills;
- Lean Six Sigma knowledge.
- Advanced proficiency in Microsoft Office (Excel, Word, PowerPoint, Access)
- Training skills
* TRAINING REQUIRED:
- Fire protection
- Labour Safety
- Formal Education or Equivalent
Other Training Courses Desirable
- Practical understanding of IT policies and procedures and their implementation.
- Practical and technical understanding of networking implementation and security
TYPICAL EXPERIENCE REQUIRED:
- University degree in a relevant discipline or extensive technical training in an aspect of the printing supply chain.
- Minimum 1-2 years proven continuous improvement analytical experience from a similar role, including project management.
