THE ROLE
This role is responsible for administrative tasks to all SEUP marketing activities specifically designed to generate inquiries for all New Initiatives (NI) products and to current student engagement activities for NI programs. This role may also, at times, support further SEUP marketing and sales initiatives as needed. This role also organizes all administrative tasks for corporate classes.
This role is responsible for following up with the re-enrollment of Teen programs. This position has a strong customer service emphasis with an expectation to uphold standards.
KEY ACCOUNTABILITIES
EVENT SUPPORT
• Carry out all administrative tasks related to marketing and recruitment events and student engagement events for New Initiatives program at SGS campus and local school activities.
• Be the central point of contact from the English & University Pathways (SEUP) to liaise with internal stakeholders regarding logistics arrangements and contracts for events and with the supplier/freelancer for the requested equipment, preparing payments and working closely with the supplier/freelancer to implement and run the equipment during the event.
• Maintain accurate records for all events including facility usage requests, invoices, payments/deposits, floor plans, menus, event participant feedback forms and stocktake merchandise, branded gifts and brochures for events, and promotional campaigns for Saigon South.
• Develop a timely and comprehensive report for each event on logistics costs in collaboration with the Student
Engagement and Marketing Manager to ensure the total spent costs within the approved budgets.
• Develop guidelines and scope of work for event interns as well as provide supervision, coaching and evaluation of intern’s performance.
FOLLOW UP WITH RE-ENROLLMENTS
• Follow up with parents for re-enrollment.
• Maintain frequent and effective communications with RMIT Connect, Student Recruitment, Student Admin, and Finance to ensure enrolments, payments, requests or issues from students or parents are processed efficiently and with minimal errors.
ADMINISTRATIVE TASKS FOR CORPORATE CLASSES
• Provide day-to-day administrative support to corporate classes in order to ensure smooth delivery of these classes and provide professional and high standard customer service.
• Organize Placement Testing, Opening Ceremony, Closing Ceremony for corporate classes, and prepare student reports.
• Be a contact point for corporate courses during and after the course.
ADMINISTRATION SUPPORT
• Ensure all documentation collected from or about students is complete, accurate, unambiguous and in sufficient detail.
• Cover some administrative tasks for SEUP Administrative staff when they are on leave as assigned by Student Engagement & Marketing Manager.
• Undertake any other duties that may be required by SEUP Student Engagement & Marketing Manager.

KEY SELECTION CRITERIA
• A relevant Bachelor Degree. Bachelor Degree in the major of Communication is desirable.
• At least 3 years’ experience in customer service, administration and/or sales roles.
• Demonstrate a commitment to service ethics and excellence through the provision of quality service and advice and timely responses.
• Well-developed and demonstrable interpersonal skills, including negotiation, liaison, and cross-cultural communication specifically in relation to customer relationship and sales functions.
• Highly organised, detail oriented and able to handle multiple tasks simultaneously in a fast-paced environment.
• Well-developed planning, organizational and problem-solving skills with the ability to supervise, coordinate and/or implement tasks in a timely fashion.
• Attention to detail and accuracy when managing and communicating information and when entering data.
• Experience using database systems, experience in sales and customer services in the education industry.
• Experience working with a wide range of suppliers, contractors, production houses, and event agencies regarding supplier contract management, performance evaluation and OHS.
• Sound knowledge and skills using CRM systems.
