THE ROLE

The Student Administration Manager is responsible for the management and oversight of key administrative areas across the Student Lifecycle for RMIT Vietnam, including student enrolments, tuition fees and student billing, assessment support, results publication, appeals, completions and graduations. The role requires a sound understanding of university policy and processes related to the Student Lifecycle and strong operational management skills.

The position is a leadership role within the Registrar Group (Vietnam) and requires the incumbent to work both strategically and operationally across a diverse set of University departments and stakeholders, and to model RMIT values and behaviours.

KEY RESPONSIBILITIES

Lead and manage the delivery of key administrative services across the Student Lifecycle – from first enrolment to graduation – for preparatory, undergraduate and post-graduate levels at all RMIT Vietnam locations.
Ensure relevant services are aligned with RMIT policy and strategic objectives. With support from the Registrar, develop strategic business plans for the local context that align with global RMIT strategy and operations.
Oversee the development, review and publication of student guides and relevant process documentation; deliver training workshops, information sessions and presentations for stakeholders; ensure information is effectively communicated and published across multiple channels to ensure students and staff are well informed about Student Lifecycle processes and issues.
Provide advice and guidance to staff and other stakeholders on Student Lifecycle policy and processes. Participate in policy review and collaborate with RMIT global to provide an RMIT Vietnam perspective, recommend changes, and ensure relevance to local operations.
Liaise, communicate and collaborate with Academic Schools, RMIT Connect, Finance and other key departments on a regular basis to support and gather input on the Student Lifecycle experience. Monitor and provide support on relevant compliance and quality issues and facilitate the resolution of complex issues.
Manage the implementation of continuous improvement and quality management initiatives to deliver Student Lifecycle services and experiences that are effective, relevant and aligned across RMIT locations. Collaborate with Academic Registrar Group (ARG) colleagues across global RMIT to share information, monitor progress, support systems development, and improve stakeholder experiences.
Lead and develop the Student Lifecycle team through work planning, coaching and mentoring, team discussions, internal and external training and learning opportunities.
Oversee the management, collection, storage and transfer of Student Lifecycle data across systems and locations. Draft and develop proposals and reports, analyse data and make recommendations to support key stakeholders and inform decision making and planning for the Registrar Group and other stakeholders. Support internal and external audits, reviews and government requests for data.
Assist in the collaboration and management of other activities across the Registrar Group, including involvement in group-wide projects, modelling and deepening the understanding of RMIT’s values, and contributing to planning and development across the group.
Support and represent the Registrar as a delegated authority as and when required for meetings, forums, and visits. Perform any other tasks reasonably within the role, as directed by the Registrar.

KEY SELECTION CRITERIA

Relevant Bachelor’s degree (e.g. business administration, education leadership and management)
Significant leadership and managerial experience working in a similar position requiring excellent administration management and organisational skills, ability to drive and implement strategic initiatives and lead and develop staff.
Demonstrated people management experience.
Experience in developing and implementing relevant policy and key processes and protocols across organisations; demonstrated problem-solving skills and proven experience in managing and providing solutions to complex issues.
Experience working in a multinational organisation and / or within the Australian tertiary education sector, preferably involving customer or client services is desirable
Experience in analysing data to compile business reports and proposals to drive change and improve quality management processes and drive continuous improvement.
Experience working with databases, customer management systems and relevant software.
Excellent communication skills including written, verbal and visual communication, experience in writing process documentation and reports, delivering presentations, and the ability to convey complex ideas to diverse audiences

ENGLISH PROFICIENCY REQUIREMENTS

If English is not your native language then you will be required to demonstrate a minimum English language proficiency standard at Advanced level (Linguaskill score 170), equivalent to IELTS 6.5. RMIT Vietnam will require you to complete a Linguaskill test to assess your level of English before an offer of employment can be made.
