Scope of Work
The responsibilities of YA Outreach Associate based in Vietnam are mainly, but not limited, to the following (collectively hereinafter called “Work”):

1) Outreach; Sales of YA events, Community Engagement Program, English Camp
- To compile a database of schools and agents in Vietnam and other regional countries
- To make an appointment to schools etc for outreach appointments in Vietnam and other regional countries.
- To visit the schools etc in Vietnam and other regional countries to promote
- To write a report on outreach visits and compile them into the database
- Follow up communications via email and phone calls to schools to encourage the schools to sign up for the conference
- Obtain the estimated number of participants from schools promoting YA events to their students.

2. Coordinate with the participating schools
- Coordinate with the participating schools/agents to obtain registration forms and consent forms
- Send invoice, check payment status and request for payment
- Attend to request and inquiries from the schools/agents
- Conduct pre-conference briefing session, if requested by the school
- Provide pre-departure note (prepared by HQ) and answer to any queries
- Contact and follow up with individuals who inquired through website

3. Publicity of YA events, Community Engagement Program, English Camp
- Update brochures from time to time in Vietnamese (if needed)
- To manage YA’s Vietnam Facebook page, which includes content creation etc.

4. Tour leading (You are likely to lead the group coming to the conference from Vietnam if the group size is big)
- Brief the schools at the conference prior to the conference dates. Ensure that they understand what is included and what is not in the Registration Fee, the Do’s and Don’ts, etc
- Fly with the group (this will be on a case-by-case basis. You may come to Singapore before the conference start date)
- Stay in the student hostel and make sure that the group is OK and at times, you may need to discipline the students if they behave badly.
- Lead the tours
- Help YA HQ for the execution of the conference (such as serving food, taking photo etc)
- Collect feedback form
- Safely bring the students back to Vietnam
- Facilitate the community work that the students present at the conference

5. Conference operation
· If happen to be in Singapore before the conference, assist with the conference preparation and logistics
6. Any other work that may arise from time to time for the outreach and execution of the conference.
7. You may be requested to help Transinex from time to time, especially to support them on promoting their Asia Pacific Arts Festival (APAF). Transinex is an associate company of YA.

Working Hours
- You are expected to work a 5½ Day workweek as per follows:
- Monday to Friday : 8.30am-5.30pm
- Saturday : 8.30am-12.30pm
- You may sometimes be expected to perform WORK outside the above stipulated hours in order to complete the tasks necessary.
- No WORK to be performed on Sundays and public holidays. In case WORK is performed on Sundays and public holidays, you will be compensated by a day off in lieu, or by monetary terms calculated on a pro-rated basis.
