Mô tả công việc
You will provide quality administrative support to the Advisory- Deals Team. You will work together with other administrative staff to complete assigned tasks and projects. You will be expected to have excellent organisation and communication skills.
Key Responsibilities:
Administrative Job Tasks:
- Manage all department files in order as needed
- Answer all questions from clients via telephone and email
- Responsible for all travel, transportation and hotel arrangements for team members
- Retain and update timesheets as necessary
- Assist in planning and organising on-site/off-site training
- Responsible for keeping team’s client list and information up-to-date
- Assist team members in claiming expenses through appropriate channels
- Maintain confidentiality of all matters pertaining to client’s information
- Assist advisory team in preparing presentations for clients
- Arrange refreshments for clients when meeting with managers when necessary
- Other tasks as assigned by manager
Project Job Tasks:
- Responsible for opening client/job codes
- Assist with formatting, editing, and finalisation of all formal letters, i.e. Letter of Engagement (LOE) and Thank You notes
- Print/run reports from internal systems as requested by managers and team members
- Research information as needed and assist in translating certain documents
- Responsible for Out of Pocket Expenses (OPE) and billing for the department
- Other projects as assigned by manager
- Critical thinking.

Job Requirements:
- University degree with a major in English, Business Administration, Economics
- At least 2 - 3 years of experience as an Executive Secretary or a Personal Assistant
- Good knowledge of administrative and clerical procedures
- Proven experience of producing correspondence and documents
- Good communication skills in Vietnamese and English
- Good interpersonal skills
- Good organisational and time management skills
- Attention to detail, meticulous and customer oriented
- Hard-working, good team player, supportive, proactive, initiative & reliable
- Stress tolerance, problem solving
- Proficiency with Microsoft applications (Word, PowerPoint and Excel)
- Good typing speed
