Mô tả công việc
1. Sales Assistant’s tasks:
- Prepare quotation, sales contracts, annex and other documents for Sales & Business Development Department (S&BD Department);
- Check different kinds of dealsheets, proposals of the south sales team for approval of the Director of Sales and B.D and BOM;
- Send, follow-up (working closely with customers, sales team and other departments), receive and file documents in/out within Sales and B.D Department carefully and in order;
- Update file missing order and customer complaint;
- Update data of customers and prices for the software;
- Contact with customers and staff of other departments to fulfill the job;
- Do other tasks assigned by the Director of Sales and B.D;
Receive and transfer coming calls in a professional and polite manner;
- Take message properly if requested to the utmost satisfaction;
- Receive visitors/guests, arrange meeting rooms promptly with drinks;
- Control office facilities (photocopy, fax, printer, etc.), call for repair and maintenance when needed;
- Cleanness: check/maintain the office cleanness, supervise the cleaner’s performance and remind staff to keep office fresh and clean;
- Securities and safety: energy saving, door control;
- Arrange for documents, fax, post, mail in/out and file all admin papers;
3. Administrator’s tasks:
- Stationery control;
- Cooperate with admin staff in Hanoi to manage and make the daily car schedule accurately, effectively and saving costs;
- Deal with the competent authorities to resolve the administration issues happened in the South;
- Coordinate with HR/Admin section in Hanoi to implement and support the HR/Admin jobs happening in the South including purchasing, interview arrangement, medical check-up etc…;
- Coordinate with HR/Admin staff & IT Manager in Hanoi to arrange the initial necessary work stations, equipment and facilities required for new staff: computer, email, network access, chair, desk, cabinet, desk telephone, business cards and stationery;
- Coordinate with IT Manager to manage daily backup in the office when needed;
- Do other jobs assigned by the Line Manager.
