Mô tả công việc
A. Reception scopes:
Welcome guests/visitors by courtesy, elegance and good attitude.
Direct visitors to the appropriate person and office
Answer, screen and forward incoming phone calls. Record messages from callers and transfer to the right colleagues.
Provide basic and accurate information in-person and via phone/email to tenants/customers.
Receive; record or deal with complaints/ queries in the responsibilities from the public, customers or tenants. File and record tenant issue’s logbook.
Ensure reception area is tidy and presentable.
File and record letters in/out and sending to the right persons (from government, etc..)
Monitor visitor access and maintain security awareness.
B. Admin scopes:
Collect and deliver letter, etc … for all employees, keep tracking those letters and record/report of Pacific express monthly fee.
Update office keys, update key check-list.
Record and report of taxi monthly usage
Admin payments (02 times/month), invoices or others letters in the office as required.
Responsible for daily set up meeting rooms with all necessary stationery and material and organize meeting room booking schedule.
Take operation meeting minutes (when required)
Keep tracking work orders forms in the Dept
Prepare memorandum and do orders as required
Filing, photocopying, transcribing and faxing and other tasks as direct supervisor assign
Maintain office lobby area in a good and high-end working environment by coordinating with cleaning, security, or other sub-contractors and landlord.
In conjunction with relevant departments, office activities, be fully responsible for supporting of daily secretarial and administrative work.
Update share folder of SOP as per required.
Update the company phone list.
Administers matters pertaining to Company private health insurance and be in charge of some staffs’s benefit activities: annual health check-up, birthday party, special events…
Work for all spectrum from dealing the price to do payment and do the cost control of admin suppliers: Grab/Vinasun taxi, landlord negotiation, housing rental, office suppliers,..
Administer courier, dispatch, stationery and paper purchase and postage services

Requirements:
Diploma/College/University degree
Female preferred. Fresh graduated/ 1-year experience
Good English communication abilities (4 skills).
Must be friendly and confident;
Be responsible and dedicated to the job;
Be honest, well-organized; and punctual;
Enjoys working with a diverse group of people with different backgrounds and personalities
A “Can Do” attitude that works to solve problems and support out tenants and visitors
