Mô tả công việc

This role is responsible for the efficient daily operation of both the MD (Managing Director) and Director's office, working in a fast-paced and challenging environment, acting as the 'go to' for the department.
– Act as a 'gatekeeper', filtering all incoming internal and external business ensuring that the Director / MD deals with relevant issues only.
– Providing general PA duties, such as diary management, meeting & greeting guests, providing refreshments, arranging internal & external meetings.
– Maintain an awareness of the key issues and activities taking place within both the Company and Department, to enable an understanding to be had of key interfaces which impact on the Director / MD.
– Provide a range of administrative and secretarial services including: controlling, assessing, responding to and directing incoming mail, responsibility for initial receipt of phone calls to the Director / MD;
– Making judgements on what action is appropriate without reference to others, organizing meetings and managing the diary to maximize the Director / MD's time and make effective use of travel/transport arrangements;
– Organizing papers and reports to ensure the Director / MD is in possession of all relevant information when attending Company and Business meetings and events;
– Production and preparation of letters, reports, presentations and other documentation and managing sensitive information and highly confidential documents with discretion;
– Responsibility for general office management including ordering stationery, desk moves, liaising with Facilities regarding any office-related issues.
– Liaising with Legal consultant on contract agreements where necessary, dealing with contractor extension process, liaising with Finance regarding invoice and payment management.
– In charge of booking flight ticket and other transportation as well as hotel booking for business trip for all staff in SGN.
o Undertake basic analysis and draft reports for management.
o Resolve any administration issues or queries and undertake other ad-hock support

Yêu cầu ứng viên

– Vietnamese national - university degree holder
– Fluent in English and Vietnamese (spoken and written)
– Excellent communication & interpersonal skills
– Minimum of 3 years work experience as a personal assistant to Director/General Director in a foreign company
– Demonstrable ability to use Microsoft packages including Word, PowerPoint and Excel, including using Microsoft outlook as a tool to prioritise tasks and arrange/attend meetings and to facilitate to manage other managers' schedules
– Ability to multi-task and prioritise tasks effectively
– Experience of supporting senior management in a similar role; Ideally experience in looking after more than one Director
– Demonstrable typing skills - confident typist with strong use of English language and grammar, and excellent attention to detail
– Ability to demonstrate patience where needed; strong customer focus, the ability to liaise with people at all levels is essential and respond appropriately in challenging situations
– Some prior management responsibilities would be ideal but not essential
– Strong background in similar administrative roles within a corporate office environment
