Department: Director's Office
Reporting to: Company Director
Job Summary: Responsible to lead and drive the the coordinations and intergration and streamlining of systems and SOPs of several departments in the operations to achieve business goals.Play an integral role in the strategic decision-making for the operations of the business. Work closely with the management team to implement and enforce the organisational changes, new policies, technology initiatives and processes that will create and enhance synergy and organisational capabilities to support business growth.
Responsibilities & Tasks
Operations Management
• Identify, define and track key operational metrics with Directors and relevant departmental heads/ leads for effective and successful management of resources, productivity and quality control
• Analyse and report on the overall business operational results and provide strategic recommendations for improvements
• Work closely with Directors and departmental heads/ leads to review and drive operational performance improvement
Operational Infrastructure
• Review and align workflows, processes and procedures of the organisation to increase business efficiency
• Proactively enhance the operational procedures, systems and principles in the areas of information management, communication flow, business processes, overall clients experience and management reporting
• Guide departments in developing and updating their SOPs according to changing environment
• Research new technologies and alternative methods and recommend strategies to enhance efficiency and effectiveness of inter-department workflows
• Set and review budgets and costs of the system implementation
• Work with external partner to ensure IT infrastructure are adequate and maintained at all time
Operational Strategy
• Work closely with the Directors to develop a long term and sustainable operating strategy and plan that supports the business's long term goals
• Identify innovations and value-added elements into business operations that will create competitive advantage for the business i.e. from the aspect of cost, speed, quality and/or agility
Team Management
• Plan for departmental goals and priorities that support the overall business goals
• Lead the team to meet the company's expectations for productivity, quality, and goal accomplishment
• Hire, guide, coach and develop subordinates through the process of on-boarding, performance evaluation, training and career development
• Empower subordinates to take responsibility for their jobs and promote continuous learning as career development
• Provide effective performance feedback through employee recognition, rewards, and disciplinary action, with the assistance of HR, when necessary
• Effectively communicate company information through departmental meetings, one-on-one, and/ or other professional platforms
Other Duties
• Actively identify, propose and implement long term and sustainable improvement in business processes and procedures
• Participate / contribute in special projects or development initiatives of the company
• Support team members and other departments when required

(A) Education & Certifications (where applicable)
• Minimum Advance / Higher Diploma in Administration or Business Administration
(B) Experience, Knowledge & Skills
• At least 5 years in business, operations, productions or similar nature of experience and 3 years in a management role
• Ability to manage, lead and develop a department
• Proven negotiating, influencing and decisive-making skills
• Strong sense of commercial and business of the industry
• Strong analytical skills with good judgement sense
• Excellent organizational and planning skills
• Strong interpersonal skills with the ability to develop strong working relationships

• Demonstrate strong leadership qualities to lead a function
• Adaptable to dynamic and changing business environment
