Finance
- Support in handling billing and expenses.
- Helps tracking KPIs and financial results.
- Interact with finance department.
Business Development
- Understand departmental services and be able to interact with front office under supervision of Operations Supervisor.
- Manage, utilize and enhance efficiency of CRM Database.
Process/ Function
- Executive Search
+ Be accountable for data (client, candidate, vacancy, etc.): input, update, export and make sure the high accuracy of information in Database.
+ Be in charge of refreshing Talentnet website in terms of vacancies including job post/update/deactivate.
+ Ensure the recruitment ads, which are sent from the Front team, provide sufficient and attractive content and in consistent formats before publishing out to the public. Be in charge of posting advertisements on newspapers and recruitment websites.
+ Be responsible for weekly/monthly/quarterly/yearly reports of ESS activities.
+ Be accountable for supporting consultants in candidate profile preparation, client’s information searching, interview arrangement between client and candidate on behalf of the consultants upon required.
+ Be accountable for conducting all administrative works in ESS includes filling and secretary duties, preparing draft proposal, invoice sending and follow up to the clients.
+ Maintain and manage filing records including proposals, bills in- and out-correspondence, both hardcopies and softcopies
+ Maintain and consolidate billing records.
+ Other department related tasks upon required.
+ Prepare Ad-hoc reports.
- Database
+ Input the candidate’s CV, client’s information and vacancies into database so that it is easy to retrieve for searching and usage.
+ Advise Operations Supervisor on Database improvement.
+ Screen, download and update candidate profile from advertising channel like job-board, e-newspaper, etc. into Database.
+ Be accountable for weekly contact with a set number of non-updated candidates (either via email or phone) for their profile update, attached photos and then input in the database.
+ Minimize duplicated information in the database.
- Other
+ Back-up for Reception and Operation Supervisor
+ Coordinate with other departmental administration works (copying, typing, accommodation and parties reservation, etc..)
+ Carried out various assigned tasks from Operations Supervisor and/or ESS Managers.
+ Take care of Committee’s administrative support.

Yêu cầu ứng viên
Bachelor degree preferable.
1 year working experience in Administration/human resources fields
Minimum of 1 year working experience as a secretary is desirable
Abilities/ Skills
- Have a high level of patience and attention to details
- Strong database skills
- Strong customer service attitude (both internal and external)Strong oral and written communication skills in both English and Vietnamese (especially with translation)
- Proficient in MS office, especially PowerPoint, good typing skills
- Strong teamwork oriented and ability to support the teams
- Strong willingness to learn and to work extra hours
- Helpful and supportive
- Have good planning and organization skills
1 year working experience in Administration/human resources fields
