Job purpose:
This position will play the key role in providing excellent HR customer service by acting as a contact point for Learning & Development and HR general queries in competencies and performance development. There can be other administrative tasks in learning organization, preparation of materials and employee support to be assigned from time to time.
Job Function:
1. Support to deliver training program:
- Plan and deliver on-boarding program to new employees
- Based on annual training plan, work out quarterly plan and provide an efficient transactional L&D service for course from nominations, registers, course instructions, pre-learning material to dealing with alterations, cancellations. Prepare and distribute training aids such as instructional materials, handouts, evaluation forms, and visual aids; set up audiovisual equipment and make presentations when necessary.
- Track learning budget and ensure all training contracts and payment process as per company guidelines are properly adhered to.
- Assist internal and external trainers in preparing and administering various training programs.
- Administer and evaluate training program qualification tests and together with HRBPs determine eligibility of prospective attendees.
2. Develop and maintain learning database:
- Review and evaluate systems and databases to enhance effectiveness and efficiency in tracking learning and competency record.
- Maintain learning database (materials, records, contracts, e-library…) effectively to provide to HoDs, employees, quality auditors or other stakeholders when required.
- Frequently review learning data, share findings and propose improvement actions if needed.
- Maintain and improve L&D space on internal site to make it most updated and visited one.
3. Act as a catalyst in learning culture and employee engagement:
- Be a role model in sharing and driving best practices in learning to team and individuals.
- Participate in learning need analysis discussion and provide insight to support supervisor or department in improving learning culture/ programs.
- Liaise with training agencies and trainers to clarify training needs when required.
- Liaise with the Corporate Communications team to ensure L&D events are published and communicated to maximise take up.
- Help select appropriate learning/training materials and programs to provide effective and innovative solutions.
4. Any other tasks and responsibilities as assigned by the Supervisor from time to time, including but not limited to the followings:
- Prepare system data for new employees (fingerprint, new employee information sheet) as an input for HR C&B to upload into HRIS.
- Participate in organizing employee engagement activities to fuel bonding spirit and energy to people and teams.
- Assist with the launch and roll out of HR or L&D initiatives such as mass recruitment programs, system enhancement.
- Be in charge of stationery orders for HR team.
- Support General Director office when required.
