Mô tả công việc
• Administrative work (50%)
Listen and receive calls from internal and partner customers related to administrative works;
Implement, monitor and process payments of company expense;
Make transactions with the bank about payments;
Booking air tickets and hotel for foreign experts and business travelers;
Monitor and extend visa, do work permit, temporary residence card of foreigners;
Prepare meeting rooms for internal meetings as well as welcome guests of the company;
Monitor and make payments of office expense (electricity, water, telephone, internet, security fee, advance and gasoline for drivers, etc.);
Monitor the issuance of phone cards for employees;
Manage, monitor, remind the security department, cleaner to ensure the working areas are clean and tidy;
Prepare necessary equipment, stationery, administrative documents;
Management of assets and equipment;
Management, counting and delivery of stationery, summary of stationery purchase request to prepare purchase request;
In charge of the health examination schedule for employees;
In charge of organizing events such as year-end party, annual company trip;
Monitor and perform the recording and report of administrative expenses: build norms, periodic reports.
• Clerical work (20%)
Receive and process official letters, papers and documents incoming and outgoing;
Prepare documents and forms when requested;
Translate documents and forms;
Manage and organize all systems of official letters, papers, contracts and documents according to regulations;
Arrange to print, scan, photocopy, notarize documents when needed;
• Administrative assistant of sale and logistic department (20%)
Prepare contracts, send documents & track sales documents;
Manage and filing sales and export documents;
Booking DHL, send documents, send samples, check DHL charges on a monthly basis, make a monthly DHL payment request;
Check the monthly transportation bill, making the payment request;
Coordinate car with the transportation company to delivery and receipt of goods.
• Coordination work (10%)
Coordinate and manage the use of cars, meeting rooms, equipment according to the company's regulations;
Procurement of equipment and supplies (tea, coffee, drinking water, sanitary supplies) for the office;
Prepare necessary working tools (computer, stationery, namecard) for new employees.
