Mô tả công việc
1. Front desk duties
* Daily Operations
Operate the main switchboard and update telephone list
Receive customers, vendors and visitors and maintain a comprehensive in/out registration record
Arrange conference room booking and maintain an up-to-date record.
Car arrangement for factory visit (including all visitors and staff)
Assure the tidiness of the reception and conference rooms area
Distribute electronic incoming fax to relative departments.
Receive incoming documents and parcels & distribute them to internal users.
Courier service- Inbound and Outbound
2. Purchasing
Perform all purchase-to-pay functions including issue request for quotation, follow up purchase requisition and order
Monitor the performance of the suppliers and source alternative suppliers when necessary
3. Administration
Liaise with Building Management Office in regards to building security, maintenance and services
Prepare expenditure analysis when required
Monitor the office security and safety and ensure to provide a health & safe working environment
Arrange regular sterilization services and remedial works if required
Stationeries, printings (eg business name cards, final & inline books etc.) distribution and purchasing support
Motorbike parking registration for staff on quarterly basis
Monitor and review the service quality of all office equipments and ensure to minimize any interruption to the company operations
Sample movement/storage arrangement from the office to the warehouse and vice versa
Follow up hang tag sample for all DIV
Printings : business name cards, final & inline books, sample tag etc… distribution and purchasing support
4. Account Payable
Office petty cash
Matching supporting documents to invoice before payment prepared (e.g DHL, FEDEX, VIETTEL; Stationeries; Telephone/mobile phone, bike parking etc.)
Running payment voucher of Petty cash, some expenses via SSP accounting software

• University graduate
• Minimum 2-3 years relevant working experience
Previous experience in in multinational organizations; managing a shared services centre is preferable.
• Detailed and hands on approach with track record in managing complex and high volume transactions environment with "customer servicing" mentality.
• Knowledge in office facilities maintenance, office relocation and renovation
• Sound analytical and problem solving skills.
• Strong people management skills and able to deploy resources to meet business needs.
• Mature, pro-active, assertive, good lateral thinking skills and strong business sense
• High literacy in Microsoft office suite.
• Excellent command of both spoken and written English and Vietnamese
