The consulting team in Vietnam is growing fast and now has 3 partners and about 90 staffs. A key activity in the consulting business is the financial and operational disciplines around the establishment and management of the client files, the financial management of the jobs, including billing management as well as the management of the sales pipeline and associated client information.
This role will report to the consulting Administration Manager, who is the EA to the consulting Country Leader.
The role is to manage the following key activities as this is an internal client supporting role:
Administration & Operation Works for Hanoi Office
• Manage the day-to-day administrations of the office, oversee and coach on-job for the admin staffs in Hanoi and supervise their key activities.
• Manage with HR and the admin staff the service contract, logistics, visa, work permits for subcontractors, SMEs and seconded staffs from other PwCs.
• Support the individual job managers in ensuring all the Risk and Quality documentation is correctly set up in the MAP files, and MAP files are established and are being closed off in a timely manner
• With the admin team ensure there is a filing process for all contracts and a register of expected billing per contract and job code set-up. This will need to be monitored on a monthly basis and assist the job managers to raise invoices according to the payment schedule.
• Monitor the monthly cash flow and collection process, and action a follow up process for all un-paid invoices with the individual job manager. A key activity is to work with the Job Manager to ensure that all appropriate client acceptance forms are used and approvals received in order to receive payment.
• Support the sales activity, especially the management of the iPower (ClientStream) Sales Pipeline tool and all of the opportunities within it. This will require active discussion with the staff who own the opportunity and editing and updating the records when required.
• Support the government and/or commercial bidding packages, specifically manage the government bidding support staff in these activities
• Provide support as and when needed on ad-hoc assignments.
Supporting Management levels
• Assist consulting leader in yearly budget and revenue computations as well as ongoing financial forecasting
• Developing and running sales reports from the ClientStream system on a regular and ad-hoc basis
• Prepare weekly, monthly and ad-hoc management reports under the direction of the Administration manager
• Perform the related tasks assigned by Management level (Partners & Directors).

Yêu cầu ứng viên
• Proficient in English and good communication skills both verbally and written in order to work alongside the Consulting Job Managers
• Bachelor’s Degree in Accounting, Business or professional qualifications.
• At least 5 years working experience. Prior similar job experience preferred, especially project management and/or contract management
• Excellent analytical skills with an eye for details.
• Self-starter, proactive to manage workload independently and cope well under pressure in an individual or team capacity.
• Good time management and interpersonal skills.
• Knowledge of customer service practices. Commitment to customers and delivery of a quality service is key.
• Ensure security, integrity and confidentiality of data and info
• Flexible and adaptable to the changing needs of this position
• Proficient in Microsoft Office Suite (Word, Excel, PPT).
