1. SUMMARY RESPONSIBILITY
• Make sure all confidential information related to employees as well as company (including staff personal information, salary, bonus, welfare, benefits… etc.) are strictly kept safety.
• Responsible for general HR & Admin job, including C&B Job, Recruitment, Labour relation, GA job for SDIV Customer
• In charge of Training & Development activities for the whole Company
• Monthly Organization Chart update, support to manage software system (Leave system, Traning Portal, Performance Evaluation System, GWP Staff Activities...)
• Support Trade Union report, activities
• Support to process Visa, Work Permit for Expats
1. ESSENTIAL DUTIES/ RESPONSIBILITIES:
A. FOR SDIV CUSTOMER
Compensation & Benefits
• Open and maintenance of employee SDIV employees’ Personal files and keep P-file in good arrangement.
• Coordinate with SDIV for C&B issue and make sure it’s in line with SDIV’s Policy.
• Monthly check, approve and control overtime, make sure following SDIV Policy.
• Weekly send email to remind overtime hours for SDIV Warehouse employees.
• Collect Meal Data, Gate Data, staff in/out Data of SDIV employees for monthly payroll
• Monthly checking time in/ time out and staff attendance, process Attendance Record for payroll - SDIV Operation Group
• Process monthly Payroll/ Payslip for SDIV. Check and make sure accurate data and follow up with Finance for salary payment on time.
• Send Payroll data to SDIV C&B for checking and confirmation
• Monthly prepare approval for Labour Cost SDIV, after get payroll confirmation.
* Monthly prepare Credit Note to FIN and SDIV for Meal Data payment
• Daily collect Sick Certificate of SDIV employees, further process with Social Insurance for report and claim
• Monthly, Quarterly Employee’s PIT Tax report. Annual PIT Tax Finalization Report of SDIV employees.
• Follow up with SDIV for MBO, Annual salary review, Bonus… to be in line with SDIV Policy
• Organize Annual Health Check, take care and make sure remain all benefits of employee follow SDIV Policy.
• Coordinate with SDIV Leaders and support in GA job and other benefits such as: uniform, daily bus, staff’s meal, New Year gift…
• Follow up with SDIV for any case of Labour Discipline and process document under guidance of Leaders.
• Follow up and make approval to claim for Trade Union benefits for SDIV employees.
B. Recruitment
• In charge of Recruitment process for SDIV Operation Group, follow company’s policy.
• Prepare job advertisement, post job advertisement on Vietnamworks website for SDIV employees.
• Contact, work with University when required for employee’s Academic Verification.
• Checking documents on Employment Verification, contact previous company’s employee to get confirm employment information.
• Prepare labour contract, letter offer, job description and other necessary documents to get approval for new employees of SDIV Operation Group
• In charge of pre-health check for new join employees of SDIV
• SDIV Recruitment Plan preparation for RHQ every 2 weeks
• Employee’s Labour contract renewal: Process Labour contract renewal evaluation and contract signing for SDIV employees.
• Monitor employee’s probation: Follow up with Leaders on SDIV’s employee’s probation, probation approval process, Confirmation Letter.
• Update Employee List for Internal Sales program of SDIV, every 2 weeks
• In charge of Training & Development plan, activities for SDIV employees
• Process final payment for exit employees of SDIV office employees. Make sure they return enough items to company before leaving.
C. TRAINING & DEVELOPMENT
• In charge of Training & Development plan, activities for whole Company
• Update Employee Training record in ETP System for all employees
• Conduct Orientation Training for new join SDIV employees on 1st day
• Organizing annual Labour Safety Training course
• Organize annual Fire Fighting Training course
• Organize Korean Language Training course
• Organize and conduct other training courses for employees (if any)
• Conduct Orientation Training for SDIV new join employees on the 1st day
D. OTHER WORKS
• Be responsible for welcomes and support VIP guests for Company, when required
• Be responsible for translation document into English/ Vietnamese when required
• Monthly update Organization Chart
• Set up eligible employees for MBO, set up approval path in EAP System.
• Support to update GOMS System Quarterly
• Co-operation and support in organizing Staff activities (Team building, outing trip, year-end party…)
• Support other colleagues in HR & GA Department when required
• Other works as and when assigned by HR & GA Manager.
