KEY RESPONSIBILITIES
A. Employment Contract Administration
- Based on approved templates, ensures that all employment contract requests and letters are complete, consistent, accurate, and in accordance with approved templates, including management of approved variations.
- Prepares employment offer/contract letters for RMITVN staff appointments, including variations to employment, based on approved terms and conditions.
- Maintains an up to date register of all current employment offer/contract letters and work permits/visas as well as all issued employment offer/contract letters awaiting acceptance.
- Coordinates the End of Contract Review (EOC) process, including maintaining an up to date EOC Tracking Report, distributing EOC Report forms, recording/communicating EOC outcomes for HR action.
- Works collaboratively with the Senior HR Administration Officer (responsible for visa’s, work permits and registered employment contracts), recruitment team and other HR staff to ensure that contract issue and renewal process is executed in a coordinated, timely and accurate manner.
- Reviews data accuracy, consistency and standards for compliance and management reporting; and develops for approval and implementation standard data profiles to be used in hard copies and in HRMS.
B. HR system administration:
- Update HR system followed employment status changes
- Be responsible for data integrity in HR system
C. Sub-lease vendor/contractor faciliation and monitoring:
- Support departmental managers to obtain the sub-lease quotation that fit with their needs, requirements, and available budget.
- Arrange for services/sub-lease contracts between RMIT Vietnam and sub-leasing provider(s) as and when needed for each project or work order,
- Coordinate with sub-leasing service provider(s), departmental managers and administrators to deploy the sub-leased contractors in a timely manner in accordance with the departmental requests and agreed service agreement.
- Support departments in verifying monthly sub-leased contractors’ costs.
- Prepare for contract liquidation once the services are completely delivered or are mutually terminated by both sides.

English proficiency requirements
- If English is not your native language then you will be required to demonstrate a minimum English language proficiency standard at a BULATS Upper Intermediate level (BULATS score 65), equivalent to IELTS (General) 6.0. RMIT Vietnam will require you to complete a BULATS test to assess your level of English before an offer of employment can be made.
