We are seeking a Human Resources Assistant (“HRA”) who will provide assistance to HR team in day-to-day HR operations. The position will report to the Human Resources Specialist.
Scope of Work
Joining us as an HRA, you will support daily operations of HR team and be involved with nearly all HR programs and services, including, but not limited to, personnel data filing, implementing compensation and benefits policies, maintaining our HR Information System (“HRIS”) and other HR platforms up-to-date, handling clerical and administrative tasks in recruitment as well as learning and development.

Roles and Responsibilities
1. Compensation and benefits (C&B):
• Provide support in checking employees’ time attendance, leave, movements, and gather input data for payroll processing in an accurate manner and on a timely basis
• Process payroll, perform payroll related reconciliations, recommend correction as needed, and answer payroll related questions
• Assist in administering various benefit schemes including, but not limited to, new registrations, de-registrations, change updates, and reconciliations
Review payment requests related to various benefits from eligible employees to ensure they meet requirements for settlement
2. Record maintenance
• Maintain current HR files and databases
• Monitor contract terms for renewal or termination purposes
• Update and maintain employee benefits, employment status, and similar records
• Maintain records related to grievances, performance reviews, and disciplinary actions
• Complete termination paperwork
• Perform file audits to ensure that all required employee documentation is collected and maintained
3. Compliance and reporting
• Maintain the calendar of statutory reporting and HR activities, and remind team in due course
• Prepare various reports as assigned by the HR management
4. Employee relations
• Prepare documentation and reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluation, etc.)
• Assist with necessary arrangements for new joiners, leavers and inter-departmental transfers
• Assist employees in dealing with insurance agencies if they encounter any difficulties in claiming benefits as appropriately
Other duties
• Provide clerical and administrative support to HR team, as and when required
• Keep track and follow up with vendors
• Contribute to team effort by welcoming new and different work requirements, explore new opportunities to enhance team’s services, and help others accomplish their jobs satisfactorily as and when needed.

• College/university degree in any discipline
Experience
• Minimum two years of experience working in the same role at an international organization.
• Experience working with an HRIS is strongly preferred
Knowledge, Skills and Abilities
• Proficiency in both English and Vietnamese languages
• Knowledge of Microsoft Office 365 and advanced knowledge of Excel
• Good knowledge of Vietnamese labor code, personal income tax regulations and statutory insurance laws and their application at work
• Proven ability to manage multiple tasks concurrently, prioritize accordingly and maintain exceptional attention to detail
• Value and commit to integrity and confidentiality
• Strong customer service, communication and interpersonal skills, including tact, discretion, empathy and cooperation.
