WORK LOCATION: 111 - A8 - Dam Trau Area, Bach Dang Ward, Hai Ba Trung District, Hanoi, Vietnam
DIRECTLY REPORTING TO: Hanoi Office Manager
PURPOSE AND SCOPE OF ROLE
• The purpose of the Customer Care Representative role is to manage customer expectations and to ensure that all problems / questions of the clients are quickly and proactively resolved.
RESPONSIBILITIES & TASKS
Customer Care
• Frequently interact with guides and clients using the services in Hanoi, especially VIP clients to ensure they are enjoying the best services possible and update all relevant information
• Preempt difficult clients, quickly identify customer problems, resolve them within the authority or, for complex problems, direct to appropriate teams or authorized persons.
• Work closely with Operations and Sales and assist them by explaining clients’ situations or advising solutions
• Following up all issues to make sure all problems are resolved
• Proactively updates Sales/ Reservations/ Operations of repeated issues and suggest solutions
• Greet groups over 10pax and assist in special circumstances, including emergencies by visiting airport or hospital any time, hospitality desk, check-in, check out, …
• Issue incident reports to assist with insurance claims
• Assist clients and Hanoi offices in emergencies situation (typhoon, forced cancellations…)
Operations Supporting
• Book and confirm all the special activities in the North of Vietnam
• Follow up changing, cancellation
• Solve any problems concerning to special activities if it happen
• Prepare all the documents like itinerary, sign boat, welcome pack, Uniform and all notes concerning to Itinerary.
• Other tasks assigned by Hanoi Office Managers

QUALIFICATIONS AND KNOWLEDGE
• Tertiary studies in Tourism, Hospitality, Economics or Business
• Foreign cultures understanding
• Large relationship with local suppliers
• In-depth knowledge of the tourism industry in Vietnam
• Strong knowledge of the markets of TOI including US, AUS, European and Spanish speaking market.
EXPERIENCE
• Minimum 2 years in Travel, Hospitality or 1 years in Customer Care Services
SKILLS
• Excellent written and spoken English
• Thorough understanding of MS Office (Excel, Word, PowerPoint etc.)
• Experience in effectively working at all levels within an organization, including delivering presentations
• Detail oriented/Careful
• High proficiency in interpersonal skill
• Problem solving
• Willing to travel as well as sit back in office for admin work
SPECIAL REQUIREMENTS (if any)
• Flexibility to work overtime
• Ability to work under pressure
• Travel as required
