ROLE:
As the Personal assistant (PA) to CEO cum Admin Assistant, you will work as a personal secretary and administrator in a well-organized and timely manner to assist the CEO and manage the daily HR/Admin tasks assigned by HR manager. You will aid the management of the team and the projects under direction of CEO. Your main role is to provide support and create balance at all times and throughout the scope of the project, all the while under direct supervision of the CEO. Important to the success of this position will be the ability to transmit all instructions into detailed briefs and plans and to deliver these instructions to the right recipients in due time and manner. Additionally, working in HR/Admin department requires great deal of patience, carefulness and being attentive to detail. Also integral will be your ability to follow up with the recipients to ensure each task is done on time as targeted.
RESPONSIBILITIES:
Personal Assistant Responsibilities:
• Assisting the CEO in day-to-day activities including internal coordinating and external collaboration from initiation to execution.
• Acting as a first point of contact: dealing with correspondence and phone calls.
• Managing diaries and organising meetings and appointments, often controlling access to the manager/executive.
• Booking and arranging travel, transport and accommodation.
• Organising events and conferences.
• Reminding the manager/executive of important tasks and deadlines.
• Typing, compiling and preparing reports, presentations and correspondence.
• Managing databases and filing systems.
• Implementing and maintaining procedures/administrative systems.
• Liaising with staff, suppliers and client.
• Miscellaneous tasks to support their manager.
• Weekly sales report.
• Set up meeting in CRM.
• Follow up CEO pending sales contract.
• Follow up Patrick communication to client via Email.
HR and Admin duties:
• Provide job candidates by screening, recording, testing applicants; maintaining personnel records.
• Administer employee profiles, finger-print, social, health and unemployment insurance support.
• Maintain human resources records by recording new hires, transfer, terminations, changes in job classifications, merit increases; tracking vacation, sick, other leaves.
• Manage the Work Permit application and TRC for expat staffs under instruction of HR
• Manage the payment for fixed cost bills, bank transaction for daily/monthly expense in cooperation with General Accountant.
• Other back-office tasks assigned by management.
Salary range around VND 18M -> VND 22M

EDUCATION, SKILLS QUALIFICATION:
• Bachelor Degree in Business Development, Marketing or Project Management.
• Practical working experience in project management and execution.
• Excellent communication skills in English, both written and oral.
• Online marketing experience is valued.
• Hard working attitude with the ability to focus effectively on both forms and substance.
• Positive attributes such as maturity, structure, organization, trustworthiness, reliability, caution and patience.
• Demonstrated experience in planning, organizing and executing projects of varying complexity and delivering them within specified timeframes and budgets.
• Experience in process development, evaluation and implementation is valued.
• Vast general knowledge/cultural experience in a variety of subjects to sustain meaningful conversations with a large range of stakeholders.
• The capacity to persuade, negotiate and sell when needed.
• The capacity to listen well and keep necessary information confidential.
• The demonstrated ability to effectively prioritize multiple projects/tasks and to manage effective results and outcomes.
• The ability to manage conflicting situations and to quickly adjust as needed to sustain work flow and to respect set delivery due dates.
• Strong marketing and/or communication experience with the ability to plan and implement a strategic, integrated marketing approach.
• Good knowledge of project management software/practices.
• Excellent writing skills and attention to details is a must.
REPORTING LINE: CEO
CONTRACT TERMS (FULL TIME):
• Working Hours: 8:00 a.m. to 5:30 p.m. with a 1 hour and 15 minutes lunch break, five days a week (Monday through Friday).
• Holidays: 12 days + national holidays
• Bachelor Degree in Business Development, Marketing or Project Management.
