Executive Project Coordinator (Travel Industry) - Special Project Department

PRIMARY OBJECTIVES
- Help the Special Project Manager coordinate the project in each destination
- Support the Special Project Department Manager in the research of resources on spot
- Support the Special Project Manager in Time Management and Budget Control
- Monitor the quality and satisfaction of the projects

JOB DESCRIPTIONS

Organizational Mission & Skills
- Understand the action plan of the project and Follow-up on the realization of the action plan within a certain timeline and budget and manage the risks, issues and delays that occur during the realization of the project
- Support and guide SP Executive in the research of internal and external resources
- Send bi-monthly reports to the SP Manager on the progress of projects

Follow the Action Plan for approved project
- Follow-up on the realization of the action plan within a certain timeline and budget and manage the risks, issues and delays that occur during the realization of the project

Control Cost
- Assist Accounting Department on keeping track with invoice, contracts and various costs from our external resources

Monitor progress and time management
- Guide SP Executive in the realization of their tasks to keep on track with the action plan and respect the timeline
- Coordinate actions with external suppliers and internal resources
- Keep track of the timeline and report to the SP Manager any risks, issues or delays
- Support SP Manager in finding solutions when facing risks, issues or delays

Monitor Quality and Satisfaction after the launch of the project
- Directly participate in the training process of Operation teams in charge of the project
- Support Project Department in setting up an operation team for the camp
- Create tools and training content in the language of the country
- Support project teams in drafting guidelines, job descriptions, procedures, etc. for the operation of each project
- Coordinate actions with Quality Department to take appropriate actions according to quality reports and clients’ feedback

Communication with external resources
- Guide SP Executive in the research of external resources
- Keep track on the realization of the action plan by following up with external resources
- Ensure external resources respect contract, deadline and work procedures
- Regular Inspection Trip to the location of the project several days in a row

- University: Bachelor’s or Master’s in Hotel / Tourism / Foreign languages or other related fields
- At least two years of experience in tourism field or in a similar position
- Fluent in English language
- Good knowledge of the Tourism field, Hotel and Tourism Management
- Creative, dynamic, good knowledge about products and destinations in Vietnam and South Easia Asia
- Good analytical, problem-solving and decision-making skills
- Good presentation skills
- Good communication skills
- Good computer skills (Excel, Word, Outlook)
- Good planning and organizational skills to balance and prioritize work
- Self-motivated to learn new concepts and participate in new projects
- Characteristics: pleasant personality, positive attitude, open-minded, honest, active and decisive
