Event Manager

DIVISION/DEPT: Event – ESP
LOCATION: Cantavil Premier Complex, 01 Song Hanh, An Phu Ward, District 2, HCM City

POSITION DESCRIPTION:

Planning, execution for all the event of the XLE company including platforms: VUG, SGH, Jr. BA, VBA… and all events from third parties: Tournaments, Festival, Liveshow, Press conf, Activations…

KEY RESPONSIBILITIES:

1. Event research/creation and quotation development:
• Doing research for new event programs and constructions
• Making internal & external quotations, strategic plans and timelines for whole event project

2. Event Project Management:
• Leading Operations meeting; Defining People Flow for each event and leading event on site.
• Proposing timeline for event (whole project, season)
• Building up and managing Timeline for preparation and operation
• Building the event flow and coordinating all related people to make sure events are running smoothly as flow.
• Dealing with government to build relationships
• Researching and dealing cost with venue/suppliers
• Controlling Budget of whole event/project
• Guiding team in all other events activities: applying the license, doing reports after events…
• Managing the Event team on a day to day basis under the instruction of Event Manager

3. Event team coordination:
• Coordinating all team members and other teams to get the whole series of operational needs to run event smoothly and successfully.
• Determining needs and creating schedule for team members (within project). Decide and delegating works & timeline among members.
• Involving in Event team Planning and deliver the plan under Event manager instruction
• Managing Event calendar, making sure other divisions are on track with plan and process correctly.
• Coordinating and operating all the events activities for brands including events, PR, Social media, Designs, Sponsors.
• Working closely with Production team and Marketing team on the events in charged.

WORK EXPERIENCE AND QUALIFICATIONS REQUIREMENTS:

• At least 2 year of related experience in event management with understanding of Sports Event.
• Experience of working in a busy, high pressured environment.
• Ability to establish productive relationships with people at all levels.
• Ability to handle and own multiple projects.
• Ability to negotiate.
• Determination to ensure successful events, willingness to undertake a wide range of tasks from start to the end.
• Oral and written communication & presentation skills in Both English and Vietnamese
• Good administrative, time management and organizational skills
• Good computer skills including: Word, Excel and PowerPoint. Willingness to learn.
• Enthusiastic, creative, self-motivated, reliable and respectful.
• Pro-active to show initiatives, having a positive and adaptable approach to resolving problems and conflicts.
