Database & Systems Supervisor

* PURPOSE AND SCOPE OF ROLE
The purpose of the Database & Systems Supervisor is to support, maintain and develop the various software platforms, databases, websites or other internal or external applications of Trails of Indochina Group companies including Trails of Indochina, Heritage Line, Indotrek and/or others if necessary.
In addition to maintaining current systems, the role is responsible for the development and implementation of future systems tools as deemed necessary, to underpin the company’s over-arching IT strategy.

* RESPONSIBILITIES & TASKS

TourPlan, SMILE, Other Systems (collectively referred to as SYSTEMS)
• Be responsible for the day to day operations of SYSTEMS
• Work closely with IT Manager to make sure the in-house servers are set up and capable to run the Systems and ensure a backup plan is in place and regular back-ups are being made
• Ensure that a rollover plan is in place to enable 100% uptime in case the system crashes
• Develop training materials and regularly train new and existing staff
• Post training materials on the intranet and company shared servers where necessary
• Maintain and develop a system help desk to effectively respond to all users’ needs
• Manage the online tariff (Tourplan)
• Further develop the functionalities of systems and optimize the usage of the same across the company. (Global)
• Manage and execute all development and system projects, e.g. XML, Channel Distribution etc.
• Develop external tools to access system data.

Websites, Intranet
• Support Trailsofindochina.com, Trailsofindochina.es, heritage-line.com, Indotrek.com, toiinternational.com and other websites as needed by the group.
• Update the website and CMS with new and periodical changes.
• Work with the graphic designer to implement new pages and designs.
• Take ownership of and train other departments to use the CMS to manage their own parts of their respective websites.
• Implement an online tariff of prices by using the tools from Tourplan software.
• Act as administrator, ensure the system is backed up and maintained.

TOI Intranet
• Administrate the TOI Intranet, develop, launch, ensure the system is backed up and maintained.
• Take ownership of the technology and train other departments to use intranet to manage their own departments and functions
• Assist to load information to the intranet including file synchronizing to other servers.
• Develop useful functionalities to improve the usability of this portal.
• Maintain the data and ensure all is current and updated.

Company and Training
• Assist or conduct training with relevant departments when necessary.
• Support ad-hoc requests from Company Management Team, Head of IT & Database Management when needed.
• Seek out and develop better ways to undertake the role and to continually aim to develop the daily systems and applications that are used in your role
• Perform any other duty relevant to this department in addition to supporting the IT & Database Department and/or any other department as deemed necessary to fulfil the business requirements of the company.

QUALIFICATIONS AND KNOWLEDGE
• Baccalaureate, degree or equivalent work/life experience.
• In-depth knowledge of the tourism industry in Vietnam and the region

SKILLS
• Excellent written and spoken English
• Thorough understanding of MS Office (Excel, Word, PowerPoint etc.)
• Expert working knowledge of PHP, MySQL, HTML, CSS, JavaScript, etc.
• Strong experience with server administration in regards to website hosting.
• TourPlan Expertise

EXPERIENCE
• 3-5 years’ experience in an inbound travel company in SE Asia
• 1-3 years management experience
• Experience in working with different cultures

SPECIAL REQUIREMENTS (if any)
• Flexibility to work overtime and travel as required
• Ability to work under pressure
• Must maintain up to date passport
