Customer Service Officer

*Reports to : Sales Team Leader
1 Run sales actvities with customers as Sales procedures in ISO 9001, BRC
2 Consulting and supporting for the customers about printing techniques and company products with best quality.
3 Coordinating, monitoring to ensure delivering goods in full, in time and in qualities to customers.
4 Maintain customers relationship

B. Key Accountabilities
a. External Communication:
1 Dealing with customers in details regarding product specifications, POs, prices, quantities.
2 Preparing the quotations for the customer.
3 Preparing the Order Confirmation for the customer.
4 Converting customer’s document into internal specifications, procedures and manufacturing orders.
5 Updating and transferring correctly customer’s requirement to the relevant departments.
6 Updating customer’s profile
7 Working closely with customers to get more orders to achieve the business target set by the Company yearly.
8 Coordinating with Finance Department on the Account Receivable Aging Report and working with the customer to get a prompt payment for overdue invoices.
9 Working on the customer’s software system as well as MM Group’s software system regarding to the PO details, Invoices, Payment etc.
10 Preparing monthly report and sending out to the customer.
11 Keeping in touch with customers to get the customers’ needs.
12 Supporting customers when they visit the company.
13 Calling customers to discuss for urgent cases via phone, skype
b. Internal Communication:
1 Handling Customer’s POs according to Company’s regulation and procedure.
2 Coordinating with relevant departments to launch the samples for customer’s review and approval.
3 Following up with the production schedule and discussing with the customers to solve the problems if any issues occur during production run.
4 Coordinating with relevant departments to deliver/receive goods on time as requested.
5 Managing and checking the quantity of goods after delivering.
6 Preparing, managing and liquidating contracts.
7 Preparing shipping documents for each P.O.
8 Attending internal meetings regarding projects, productions, audits etc.
9 Other tasks as assigned by Sales Manager/ Sales Leader.


1 Suggest to the manager the improvements in Sales procedures.
2 Suggest solutions for each customer, each product, current business status and next year business plan of company.
3 Work closely with other departments to solve related problems, or suggest other departments or factory to adjust Jobsheet when needed to ensure customer's need.
4 Follow up with Sales procedure to ensure that all the requirements was applied correctly

1 Education
Graduated from Colledge, University with major in International Trade, Business administration, Marketing, Economics, Finance or related major.

2 Qualification
a. Labor Law and Goverments' Law
b. Regulations, Employees'c commitment and company 's rules.
c. Printing material
d. Printing products and technical.
e. Procedures, business standard, printing production and technique, run company as ISO 9001, BRC
f. Targets and quality policies include all the resposible and rights.

3 Skills:
a. Proficiency with Microshop office
b. Presentation skills.
c. Business communication skills.
d. Reported skills.
e. English, good with 4 skills.

4 Experience
a. At least 2 years experience with the same position in equated fields.
