JOB PURPOSE: To support the Community Service Project Manager in establishing appropriate community service opportunities for student participation and involvement.
The post holder will support the school as it moves towards its declared Vision Statement with respect to Community Service:
Vision Statement
The British International School, Vietnam has a core commitment to the all-round (holistic) development of each child. Through a range of planned community service and fund raising activities the school will provide appropriate opportunities for the students to develop a respectful and caring sense of social responsibility towards other people and the environment on both a local and global scale.
JOB DESCRIPTION:
Community Projects Administration:
• Establish and develop long term relationship between BIS community and community partners
• Discuss with Community Manager the objectives of exchange sessions.
• Attend all meetings with Community Projects Manager with leaders of organisations to discuss, plan and establish project links and project dates for all three campuses AP1/AP2/TX – accurate translation is essential so partner understands the objectives of the project and the action involved.
• Communicate with Vietnamese Principal, Manager of NGO organization in Vietnamese, be the bridge between BIS and local community partners e.g. liaising with community partner leaders by telephone to schedule meetings and remind them of events/dates
• Arrange transport for all Community activities for partners and BIS students – liaise with Facilities to ensure correct size of vehicle is ordered in line with budget for both offsite and onsite events
• Liase with Bus Manager and Partners to ensure smooth running of buses
• Needs to react to constant demands and changes with transportation and adapt plans when necessary
• Hands on approach to set up for events and ensuring everything is in place in good time – resources, equipment and staff
• Attend as many as possible Curriculum and ECA events to ensure smooth running and be a vital link to ensure partner and BIS work well together
• Liase with community partners and get feedback, logging it so it can be used in future action plans
• Translate proposals set by Community Service Manager and communicate this officially with local partners.
• Manage expectations, cultural differences and conflicting schedules of Vietnamese Partners
• Assist the quality of our exchange sessions for example working as an interpreter during activities with local partners.
• Continually evaluating and being part of the process of making improvements to projects, particularly to curriculum projects, addressing points made in reviews from the previous year.
• Keeping record of resources and donations in community service store
• Maintaining community service filing system (both hard copies and e-copies accordingly school policies)
• Arranging for refreshments served for all community service partners during exchanges and events
• Providing BIS facilities’ managers with community partners names/ID cards before attending events at BIS
• Inform community partners with expected code of conduct during exchanges and events
• Updating community partners contact list with numbers, email addresses and contact persons
Resources and Accounts:
• Works closely with resources and purchasing to ensure value for money for partner and that any purchasing is in line with school policy
• Arranging and chasing purchase orders
• Collating resources for curriculum, ECA and PTG community projects.
• Manages distribution, movement and storage of BIS and PTG charitable donations and supplies to local organisations
• Work with accounts to support with PTG funds, bank transfers and community service account holding
• Assisting in the management of the Community Service accounts.
• Collating wish lists from partners to support CSPM in suitably distributing community funds
Organising time:
• Calendaring events on outlook
• Balancing workload for both ECA and Curriculum community projects
• Ensuring in advance all partners are prepared for up and coming events and exchanges
• Flexible towards overtime and to remain motivated during very busy periods.
Awareness:
• Organising community displays – printing of posters, photos and creating signage, titles for displays for all campuses
• Responsible for assisting in the advertising in Community Fairs, BISzaars and events
• Assisting with publicity, chasing and organising photographs
• Liaising with graphics on the development of community designs, certificates, badges, medals and banners
Project Development:
• Help investigate appropriate local community service opportunities
• Develop links and research into existing charitable organisations within Vietnam
• To assist developing joint Community Service projects with other international schools outside of Vietnam where possible
• To fulfil any reasonable additional responsibilities as may be from time to time requested by the Principal
