THE ROLE
This role is directly responsible for overseeing a wide range of events organised by Schools, Divisions and Departments as well as external clients of the university. This position has a thorough understanding of events management processes and tactics, as well as a strong emphasis on client engagement from the point of first contact through to event delivery and post-event evaluation.
KEY RESPONSIBILITIES
Events Management
Manage functional events owned by Schools and Divisions by overseeing all stages of event delivery, including logistics planning, budget management, resource allocation and event management.
Allocate and supervise workload of event coordinators in the team for project development, production and delivery from proposal right up to delivery
Manage regional events upon request by proactively organising all event logistics, from venue sourcing, selection to event production and execution with minimum support.
Consolidate event best practices in each country to maintain event standards and quality.
Lead debrief meetings and distribute post-event reports to relevant stakeholders for quality assurance and improvement
Assist Events Manager in organising and managing country-wide events on requests
Client Management
Collaborate effectively with Divisions, Schools, Departments as well as external clients
Oversee the event work of other supporting departments that deals directly or indirectly with clients
Establish and manage effective and timely communication lines among cross-function members of projects.
Build and develop strong relationships with client contacts through effective communication and engagement.
Sponsorship Management
Design, implement, and manage sponsorship plans for relevant events
Produce sponsorship proposals in line with the university’s collaboration policy; source and meet potential corporate partners, present sponsorship packages and negotiate benefits
Manage the delivery of the sponsor’s contracts
Build and maintain strong relationships with potential sponsors and supporters
Advisory and Training
Provide consultancy across all event-related matters to individuals or groups of clients
Assist Events Manager in facilitating formal training sessions to internal and external clients where appropriate
Staff Supervision
Supervise the daily progress and performance of events coordinators to meet overall performance target
Source, recruit and train short-term casual labour and student volunteers to support the team during peak season.

KEY SELECTION CRITERIA
A Bachelor degree in a relevant discipline
At least five year experience in event management, organising and managing different events types in the capacity of a project leader
Demonstrated knowledge of event industry terminology, facility capabilities, contractors, OHS, event coordination and event-related services
Experience in effective leadership and people management
Clear and effective verbal and written skills (English and Vietnamese) for the purpose of obtaining and conveying information to clients, technicians, management and team members as well as producing reports
Demonstrated ability to multi-task, think creatively and problem solve
Attention to detail and accuracy when managing and multiple projects with little supervision and time pressure

ENGLISH PROFICIENCY REQUIREMENTS

RMIT Vietnam will require you to complete a BULATS test to assess your level of English before an offer of employment can be made.
