Mô tả công việc
• The Branch Office Manager is responsible for organizing and coordinating all office operations and procedures
• Ensure smooth and qualitative tour operations as well as organizational efficiency (operation within defined duration and tour costs and matching ICS standards)
• Manage administration and selling expenses within the approved budget
• Support with the development of new products within the assigned area
• Support with the contracting of hotels (quality checking and rates negotiation)
TECHNICAL RESPONSIBILITIES
Prepare and organize all necessary works to operate all tours bookings in an accurate and timely manner, within the defined tour costs
Regularly review the quality of the operation through guests feedbacks analysis, feedbacks from guides or personal ad hoc checks
Establish standards and procedures to improve office efficiency
Ensure proper reservation system knowledge
Ensure smooth communication between branch office and corporate office
Propose and execute a yearly action plan regarding contracting of suppliers in his/ her own area of responsibilities
Prospect and develop relationships with current and new suppliers in his/ her own area of responsibilities to ensure quality of service
Collect market intelligence in his/ her owned area of responsibility and report monthly to management about latest area information: suppliers’ updates, new suppliers, new tour possibilities, etc…
HUMAN RESPONSIBILITIES
Recruit, train and supervise all office staff
Evaluate staff performance by the way of setting up and monitoring performance indicators in liaison with management
ADMINISTRATIVE & FINANCIAL RESPONSIBILITIES
Responsible for the office expenses (supplier’s payment and office expenditures) and to maintain the latter within the approved budget
Responsible for cost control: implement procedures to ease reconciliation between booking files and suppliers’ invoices and ensure accuracy
Prepare and comment monthly reporting to management: financial reports and activity score board
Ensure proper office administration and maintain office equipment
PRODUCT DEVELOPMENT
Support the Product Manager to enhance the existing tours (reduction of 3rd parties where possible, price decrease through the assignment of preferred suppliers, etc)
Support the Product Manager to create new ICS signature tours (eg proposals based on new suppliers/regions/meals of transportation; proposals based on operational issues with existing products or negative guests feedbacks; operational check/validation prior to new tour launch)
RELATIONS
Branch Office Manager acts as the representative of the Company with third parties in his/ her own area of responsibilities.
DIRECT LIAISONS
Branch Office Manager maintains close contact with the corporate office in HCMC and operational departments at Headquarter.
FUNCTIONAL LIAISONS
Branch Assistant Manager may have contact with management at the regional level.
TEMPORARY MISSION
The Branch Office Manager may be called upon to undertake activities outside his/ her own area and other than his/her own for specific projects and/ or programs.

Yêu cầu ứng viên
• 5 years of experience in the industry
• Good command of spoken and written in English and Computer literacy
• Bachelor degree in Hospitality and Tourism
• 5 years of experience at the same level or higher position
• Self-motivation, team spirit and strong leadership
• Able to work independently and under pressure
• German language would be a plus
