Responsibilities and duties
• Draft and type correspondence, collate reports;
• Organize meetings and take minutes of meetings as required by Project Manager;
• Interpret, provide translation support for technical and other teams when requested and translate documents if needed;
• Create, maintain and update filing systems of both hard & soft copies of projects’ documentation;
• Assist Project Manager in the execution of the management plan;
• Review project designs and contribute ideas for cutting costs;
• Carry out daily operational tasks in an effective and timely manner;
• Track and directly report project status updates to project manager;
• Help problem solve issues and suggest ways to improve the project;
• Assist in ensuring compliance with necessary specifications;
• Help in creating, manage, and maintain project budgets;
• Coordinate and execute daily administrative tasks;
• Help in creating and control project timelines and schedules;
• Consult with and gather information from technicians, engineers, contractors, etc.
• Assist Project Manager by being the daily on-site representative;
• Monitor and manage contractors’ schedule commitments. Meet with key personnel daily to review progress and sequence of work;
• Monitor and manage vendors and contractors work for compliance with project plans and specifications;
• Track outstanding deficiencies and backlogs;
• Keep track of all permits and required inspections;
• Evaluate conflicts/changes in scope for the most cost-effective solutions;
• Review contractor’s daily work logs and report progress as required;
• Evaluate contractors’ requests for change and variation orders for accuracy;
• Assist Project Manager in all other phases and aspects of the project.

Qualifications and skills
• Bachelor’s in Law, construction, architecture or related field preferred
• 2+ years’ experience in project management or as a project assistant
• Fluent in English, knowledge of technical English;
• Excels in a high-paced work environment
• Good oral and written communication skills
• Organizational skills and ability to multitask
• Focused and supportive to management
• Self-starter who works well independently
• Adaptable and calm under pressure
• Expert problem solver
• Tact and diplomacy
• A knowledge of standard software packages
