Key Accountabilities
1. Provide general administrative support to the HR Department
2. Provide support regarding Staff Compensation & Benefits
3. Others duties as assigned by Management levels
Duty Statements
1. Provide general administrative support to the Human Resources Department
Staff data
• Check new staff personal files to ensure new staff provide all necessary documents following HR Procedures
• Update new staff personal information into relevant HRMS on Bitrix.
• File staff personal files following current filling procedure
Coordinate all aspects of Staff Uniforms
• Distribute staff uniforms as per request from managers and keep record of delivered uniforms following relevant procedure.
• Manage staff uniforms in stock and order new uniforms to ensure all types uniforms are always available and in good condition for staff requirements.
• Liaise with outside contractors to arrange embroidering of the VINestate logo on staff uniforms
Prepare HR Reports, Statutory Reports and Ad-hoc Reports
• Labor Report: Labor Increase/Decrease every 6-months to Labor Department
• Labor Report to Trade Union every 6-months
• Record and prepare Monthly Holidays/Leave Report (Management level only)
Recruitment Support (Office Staff & Management level)
• Coordinate candidates for interview appointments and arrange interviews for the COO upon request
• Ensure recruitment mail box is checked daily and coordinate and prepare payments for recruitment fees
Coordinate staff travel, accommodation and related needs for staff undertaking business travel
• Book air tickets, hotels & arrange payment
• Liaise with Visa agent to arrange appropriate Visas for expatriate staff and staff who travel overseas if any.
Staff correspondence & compliance
• Assist to prepare Labor Contracts for new staff
• Prepare appropriate documents for staff finalizing their employment with VINestate such as: Decision of Contract Termination, finalization of Social Insurance Book, …
• Communicate, coordinate and support in a timely manner with expatriate staff regarding expiry dates of passports, Vietnam Visas, Temporary Residence Cards and Work Permits.
2. Provide support regarding VINestate Staff Compensation & Benefits
Payroll support
• Liaise with the nominated bank to arrange staff salary/bonus transfers and ensure that it is on time.
Social Insurance - staff
• Prepare appropriate reports to register new staff joining Social Insurance, report on staff increase/decrease, … and arrange payment of SI Contributions of the quarter to Social Insurance Department.
• Arrange claims to submit to the Social Insurance Department for: Sick Leave, Maternity Leave allowance and make report of money received from Social Insurance for those claims.
• Update and report to Management regarding Government changes to Basic Salary, Regional Salary and new Social Insurance legislation (if any)
Support and coordinate logistics for Company Staff Events such as: Sports Day, Staff Party, Team Building activities, Birthday gifts, etc.
• Arrange flowers, cakes, … for staff birthdays, where appropriate.
• Liaise with tourist company to organize Team Building activities for the company.
3. Others duties
Update to Senior Management any changes to the Labor Code legislation
Manage and record all VINestate issued equipment/technology: ie: Company Laptop, hard drives and document when returned from departing staff
Administration and documentation support for the COO.
