Mô tả công việc

* Reporting to: Airfreight Export Manager _ HoChiMinh

* General Description
This position is responsible to all documentation tasks, supervision team to reach KPIs target of data quality, solving any system/service issues relating to Air Export shipments monitoring by HCM Branch.

* Specific Accountabilities
- Input draft information of the shipment (draft HAWB) into Procars with ensure correctly information of flight details, destination, shipper, cnee, AWB#, cargo details, freight term...
- Print combi-labels when required.
- Follow up with C/S to obtain SOP for handling each single account/ shipment include related shipping documents, pre-alert parties, billing party, freight term.
- Connect with on-site team to get shipment details (exactly number of pcs, gross weight, dimension/ chargeable weight) to issue final HAWB, manifest and consolidation MAWB into Procars.
- Print out HAWB, manifest & MAWB to prepare a shipping pouch to submit to airlines.
- Send pre-alert to related parties, ensure to strictly follow SOP if any.
- Issue freight invoice for single shipment.
- Track & trace the shipment status and definite if they have been uplifted follow the flight schedule and immediately inform booking team if any discrepancy.
- Collect the custom declaration sheet from onsite team on the next day then release to shipper together with original HAWB.
- Input all shipments information to monthly report, store the shipment documents as a record file separately.
- Check and update missing event if any.

* Management as a Team Leader
- Provide trainings to new comer or refresh training when required
- Be ready to do back up for team member whenever needed.
- Monitor accuracy & timeline requirement for team members job assignment including invoicing (Airfreight Invoice, Local Charge Invoice, Storage Charge Invoice base on selling tariff)
- Monitor sharing workload and shift duty among the team
- Coordinate & cooperate with other parties (C/S, procurement, on-site, etc) to fix if any problem occurs.
- Be responsible for smoothly ops handling of whole Document & Billing Team and report to Air Freight Export Manager if any issues
- Set-up/ Implement SOP for team daily ops with a most effective manner
- Keep up-to-date SOP/required handling updates from Schenker network and distribute among team for implementation

* Other tasks assigned by Air Export Manager
- Build up KPIs for team
- Make data analysis report
- Other tasks/duties as required by the business

* Skills Required
- Good English in reading & writing skill.
- Billing skill experience.
- Good communication and interpersonal skill.
- Accuracy, proactive, teamwork.
- Hardworking, willing to work overtime and under high pressure.
- Good computer skill (Windows, MS. Word, MS. Excel, Email & Internet).
- Strong Problem Solving skill.
- Careful, detailed, result oriented, fast learning.

* Experience and Qualifications
- Bachelors in Business Studies/ Foreign Trade/ Economics.
- Minimum 3 years of relevant working experience.
- Fast and accuracy, efficient on email and system working.
- Incoterm/shipping term knowledge
