Mô tả công việc
Objectives:
Admissions Executive supports the Admissions Team to provide excellent customer services, reflect in deeply understanding of academic to communicate in effective manner with parents, in order to enhance reputation of School.
The job holder has responsibility for promoting and safeguarding the welfare of children and young person’s for whom s/he is responsible, or with whom s/he comes into contact will be to adhere to and ensure compliance with the relevant Cognita Safeguarding; Child Protection Policy and Procedures at all times. If in the course of carrying out the duties of the role, the job holder identifies any instance that a child is suffering or likely to suffer significant harm either at school or at home, s/he must report any concerns to the School’s Child Protection Officer/Designated Safeguarding Lead or to the Head or indeed to the Regional CEO so that a referral can be made accordingly to the relevant third party services.
Admissions Executive reports directly to Admissions Manager, and perform a full range of duties, including but not limited to:
1. Support reporting as requested by Admissions Manager
2. Follow Policies and Procedures (P & Ps) as set out for Admissions
3. Understand P&P's to respond to inquiries (calls) and redirect inquiries to Admissions Managers
4. Handle phone inquiries and take notes of inquiries' contact details for Admissions Manager to consult in details; Schedule and support with school visits as needed;
5. Work at all admissions/ marketing events to support Admissions Manager(s) with inquiries
6. Email prospective families (using Admissions templates); Collect documents on current applications; Support when needed with Admissions steps such as arranging tests and orientation;
7. Upload documents on Portal
8. Inform the Principal Office and other departments (IT, Bus, Canteen, …) of the students' expected arrival date
9. Familiarize with communication templates and use as applicable
10. Support parents in interaction with schools; guide them to the relevant department for further support if needed;
11. Respond to parents requests as guided by Admissions Manager
12. Understand school policies and promote compliance to safeguarding policies
13. Maintain presentable office and all material well stocked; Prepare inquire packages;
14. Interview, meetings, guide school tours, email to prospective parents
15. Update on portal, follow up, follow through the case
16. Follow up with prospective families as requested by Admissions Manager

Experience
- Extensive knowledge of Management Systems, Data Entry and Reporting requirements.
- Customer Service and Sales experience.
- International education environment
- Understanding about customers’ trend and demand in educational industry in Vietnam.
Knowledge (acquired information necessary to do the job)
- Portal Student Management System
- Understanding the required data to extract and put into the system from all of the admissions documents and information, from the first email or interview form, to enable accurate reporting, that may be required, for the Admissions Dept, the Headmaster and Cognita
- Extensive knowledge of admissions processes and systems
- Insights of Customer Service and Educational Consultant areas
- Knowledge of Teachers and Auxiliary staff throughout the school
Skills (acquired measurable behaviors)
- Diligence to accuracy
- Able to work confidently and independently when required
- Due diligence to required due dates for specific projects
Abilities (natural talents or developed proficiencies, aptitudes)
- English comprehensiveness in 4 skills
- Able to communicate confidently and effectively with all clients and foreign professionals
- Understands what needs to be done and proactively organizes the work to support the team
- Friendly and outgoing personality and has the ability to make new and prospective clients feel welcome
- Adopt a “can do” working attitude
