Mô tả công việc
1.
- Perform day-to-day operations of administrative activities.
- Provide services and support to employees on administrative issues, fostering a positive working environment, employee engagement, and morale.
- Handle administrative systems, policies, and procedures to employees. Prepare all documents and templates needed for operations.
- Ensure office is stocked with necessary supplies and all equipment is working and properly maintained.
- Participate in bidding/selection process (in form of meetings...) of choosing an agency as service provider for ECOE, ensuring the Company gaining a favorable deal. File and record all contracts including warranty papers, etc. , except from HR related ones.
- Be in charge of purchasing items whose cost are more than VND 10 million. For items with cost of less than or equal to VND 10 million, the staff will purchase by him/herself and follow claim-back procedure.
- Participate in the action of goods purchase, applying warranty, fixing, or liquidating tangible assets. Regarding technology items, Application team are in charge of these, Administration will only file and record the supporting documents.

- Collect, organize, and store/file information using computers and filing systems.
- Pass on the announcements/instructions/requirements of senior management (where required) to concerned teams in an accurate and effective way.
- Participate in special projects and tracking progress towards Company goals.
- Monitor employees' compliance to Company policies and regulations.
- Conduct and provide inventory results of Company assets to AC for accounting reports.
- Process non-HR-subject-oriented requests/queries/recommendations.
- Handle and collect the performance assessment of agencies by the department - the receiver of agency's service/product - and the agency's performance is improved.

- Communicate and coordinate with other departments. Be a team player with good communication and interpersonal skills.
- Keep information confidential and secure them with daily database backups.
- Provide support and guidance to employees, supervisors, and/or department heads on administrative issues and conflicts.
- Participate in building and implement policies of using and protecting Company assets.
- Ensure the security of staffs and the whole office. Instruct and conduct the necessary check of walk-in guests and staffs for security assurance.
- Ensure occupational safety and health, fire safety, security and hygiene for staffs.
- Prepare documents and reports relating to administration.
- Handle other reports related to the field.

- Assess the competence level of agencies (where applicable).
- Track task progress and do report.
- Estimate budgets in a cost-effective way.
- Ensure objectives are met within stipulated time.

- Plan and schedule office events (meetings, conferences, interviews, orientations, and training sessions), make meeting minutes.
- Build new and expand existing skills.
6. Perform other assigned duties as required

7. Have good interpersonal skills and able to work with all levels, internally and externally, in a professional and responsive manner.
