Summary: The U.S. Mission in Hanoi is seeking an eligible and qualified applicant for the position of Administrative Assistant in its Consular Section (CONS).

The work schedule for this position is:
• Full Time (40 hours per week)

Start date: Candidate must be able to begin working within 90 days of receipt of agency authorization and/or clearances/certifications or their candidacy may end.

Supervisory Position: No

Duties: Incumbent of this position will be responsible for all management/administrative functions in the CONS. Under the supervision of the Section Chief and the LE Staff Supervisory Specialist, s/he will provide all office management functions to the section, including budget management, travel arrangement, and office inventory, among others. The incumbent also will provide all secretarial functions to the section, including assisting with protocol services, facilitating meetings, screening phone calls, and other logistical assistance.
In addition, the incumbent will provide additional backup support for all non-immigrant visa services that Non-immigrant Visa assistants perform.

Qualifications and Evaluations
Education: College or university studies is required.

Requirements:
EXPERIENCE: At least two years of experience in the administrative, office management, consular area, customer service, and/or work applying regulatory material is required.

JOB KNOWLEDGE: Must have strong understanding of administrative office procedures and solid knowledge internet use and familiarity of databases.

Evaluations:
LANGUAGE:
Level 4 (Fluent) Speaking/Reading/Writing English is required. (This will be tested.)
Level 4 (Fluent) Speaking/Reading/Writing Vietnamese is required.

SKILLS AND ABILITIES: Must have:
• Excellent organizational, management and interpersonal skills.
• Ability to multitask efficiently with a high degree of accuracy in a very demanding work environment.
• Ability to deal with customers in a professional and courteous manner, and to work under pressure.
• Ability translate/interpret professionally English to Vietnamese and vice versa.
• Advanced keyboarding and data entry skills; Basic mechanical and mathematical.

Qualifications: All applicants under consideration will be required to pass medical and security certifications.

* IMPORTANT: Applicants who claim status as a preference-eligible U.S. Veteran must submit a copy of their most recent DD-214 (“Certificate of Release or Discharge from Active Duty”), equivalent documentation, or certification. A “certification” is any written document from the armed forces that certifies the service member is expected to be discharged or released from active duty service in the armed forces under honorable conditions within 120 days after the certification is submitted by the applicant. The certification letter should be on letterhead of the appropriate military branch of the service and contain (1) the military service dates including the expected discharge or release date; and (2) the character of service. Acceptable documentation must be submitted in order for the preference to be given.

** This level of preference applies to all Foreign Service employees on LWOP and CS with re-employment rights back to their agency or bureau.
