THE ROLE
The Administration Support Officer is responsible for providing administrative support to the Student Life Department. The Officer will maintain records and ensure documents are well managed and attended to in a timely and appropriate manner. Working with both internal and external stakeholders, the role will assist in major functions and events including bookings of facilities, equipment and support for other activities as required.
KEY RESPONSIBILITIES
Provide day-to-day administrative support for Senior Manager Student Life and the management team within the department.
Manage bookings for facilities, schedule bookings for events, workshops and organise equipment and materials as needed.
Support the organisation of events overseen by the Student Life department, including logistics, facilities and equipment.
Administration of departmental travel arrangements including booking flights, accommodation and transportation for Student Life staff.
Coordinate the collection, compilation and evaluation of student usage numbers, student feedback and research data across both campuses; Hanoi and Saigon South.
Process purchase requests and payment of invoices relating to the Student Life. Manage and process internal requests to ITS and Property.
Establish and manage effective relationships with all relevant stakeholders internally and externally including students, staff and external clients of the University.
Use confidential, effective and professional communication in all dealings with internal and external contacts.
Assist the Senior Manager Student Life in the marketing and communication efforts for all relevant units and its activities. Maintain online information and social media where appropriate. Assist in preparing marketing materials for department activities.
Maintain supply of material resources, stationery, office supplies and equipment.
Maintain files and records related to the Student Life department.

KEY SELECTION CRITERIA
A tertiary degree in a relevant field such as business administration
At least one year of experience in a similar administration position.
Prior experience of helping to organise events is desirable.
Prior experience of coordinating travel arrangements such as booking flights, accommodation and transportation is desirable.
Well-developed interpersonal skills including coordination, liaison, and communication both written and spoken, in English and Vietnamese, across a broad range of audiences.
Well-developed planning, organizational, analytical, critical reasoning and problem solving skills.
Ability to working independently or as part of a team.
Attention to detail, accuracy, and security when managing information.
Demonstrated superior knowledge and experience in using computer software such as Microsoft Word, Excel and Power Point, other presentation software, database systems, Google apps and social media.

ENGLISH PROFICIENCY REQUIREMENTS
If English is not your native language then you will be required to demonstrate a minimum English language proficiency standard at a BULATS Intermediate level (BULATS score 60), equivalent to IELTS (General) 5.5. RMIT Vietnam will require you to complete a BULATS test to assess your level of English before an offer of employment can be made.
