Mô tả công việc
SCOPE OF WORK:
Responsible for assigned administration activities effectively and efficiently and be compliant to company policies
RESPONSIBILITY:
Administrator:
• Responsible for receiving and replying/ sending incoming/outgoing calls, email, letters, fax from customers, dealers, Grundfos companies, others, etc. in a polite way as the face of GPV company and transfer to the appropriate phone/departments; responsible making a report on what happening related
• Interpreter/ Translation as per request
• Follow up and update annual leave and working hours of all employees in the company.
• Set up and maintain filing of documents, contracts relating to the office and the Company's Assets/ Company’s Docs, etc.
• Manage monthly office expenses and work with the vendors for all relevant to Admin
• Support and organize the internal company events/ activities such as team building programs.
• Be responsible for logistics such as accommodation, travel, etc. for visitors and employees.
• Follow up and make sure all divisions have follow with Admin procedures.
Support Purchasing Officer
• Research potential vendors; Compare and evaluate offers from suppliers
• Track orders and ensure timely delivery. Obtains requirements by verifying, preparing, and forwarding purchase orders; verifies receipt of items; authorizes payment
• Review quality of purchased products
• Create Vendor and PO (SAP system)
• Enter order details (e.g. vendors, quantities, prices) into internal databases
• Maintain updated records of purchased products, delivery information and invoices
Support other departments:
• Support other departments as per company secretary
• Perform other tasks as required from time to time

• College or University Graduated
Ability & Skills:
• Good communication and negotiation skills in Vietnamese and English
• PC-literacy: Advanced user of Microsoft Word, PowerPoint and Excel and internet
• Grundfos competencies including accountability, customer centricity and collaboration.
• Team work
• Capability to organise events and activities
• Multi-tasking with good ability to prioritise tasks, able to manage own working time effectively; able to plan and organise a process from start to finish and deadlines
