***JOB SUMMARY:
1. The Administration staff is responsible for administration works of all activities of the E&M and the Management Office; assist the Customer Service Supervisor in customer care.
2. The Administration staff reports directly to the Customer Service Supervisor all operation, and administration of the Management Office.
***ESSENTIAL DAILY DUTIES:
Administration activities:
1. Responsible for all paper works needed by the E&M and Management Office; maintain all Tenants’ files, Management Office’s Files orderly.
2. Conduct and monitor office equipment, ensure all office facilities are well function (Printer, Photocopier, Operator, Telephone…); control the stationery being used and order.
3. Be familiar with the Company Standard Operation Procedure (SOP) and Standard Application Procedures (SAP) for raising Purchasing Request (PR) and Purchasing Order (PO)
4. Ensure the Offices are always cleaned, tidy and office equipment are well function.
Customers care activities:
5. Be familiar with Tenant Handbook, Tenant Fitout Guide, Rules and regulation of the building; in order to monitor the implemented those from the Tenants/contractors;
6. Follow up new tenants for parking’s registration, tenant staff list registration, recording in files;
7. Receive the complaints/suggestion from the tenants, pass the reasonable request to relevant department
(cleaning, security, E&M) to solve for tenant; any major complaint need to be addressed to the Customer Service
Supervisor.
8. Follow up with new tenant moving in/out to prepare the inventory list for tenants.
9. Attend the meeting between E&M Department/Management Office and Contractor to take minutes;
10. Follow up with technicians on recording the building and tenant’s electricity and water consumption daily, weekly or monthly; recording in the excel files.
11. Support Customer relation staff (receptionist) to fulfill their job in a professional manner.
12. Do other job as required

***EDUCATION/EXPERIENCE/OTHER SKILLS AND ABILILITES:
1. Minimum College Graduated is required.
2. Minimum of 1-year experiences in building operations, customer service care.
3. Customer care mind set;
4. Good in speaking and writing in English
5. Can use the normal Microsoft Office (Email, Winword, Excel, Power point)
***Other Job Requirements:
1. Punctually and well grooming, politely and helpful and professionally.
2. Available and on call as required
1. Minimum College Graduated is required.
2. Minimum of 1-year experiences in building operations, customer service care.
3. Customer care mind set;
4. Good in speaking and writing in English
5. Can use the normal Microsoft Office (Email, Winword, Excel, Power point)
***Other Job Requirements:
