To co-ordinate and supervise the administration activities of the Depot office in order to ensure a smooth and efficient working environment
KEY ACCOUNTABILITIES:
1. Monitor the implementation of Human Resource procedures for Depot office.
- Effectively coordinate with HR-HQ on all the HR related issues & catch up with the new changes of Labor code
- Annual leave report Sick leave - Social insurance claim in accordance with the company sick leave policy. Quarterly highlight report (if required). Annual report to all managers for their future staff manning plan.
- Reports related to payroll (OT, Leave)
- Prepare ration requisition for Depot staff
2. Effectively manage and monitor paperwork related to Social insurance/Medical insurance for Depot staff
- Ensure accurately and timely prepared paperwork for Social Insurance/ Medical Insurance through various co-ordination with HR-HQ and SI Dept. on staff welfare (Social Insurance allowance, resignation package...)
- Handle paperwork for retirement packages/maternity leave claim for staff
- Handle the Social Insurance/Medical Insurance process for depot staff monthly
3. Maintaining the personnel filling.
- Timely and accurate HR report submission to HQ
- Maintain and manage the Personal Data filling system (both hard copy and soft copy)
- Ensure accurately reports submission to HQ and relevant managers including but not limited to leave management, HR movement report, and organization structure. (Monthly)
4. Appropriate controls of administrative services to Depot office are in place in accordance with Company policy
Regular check on administrative services to ensure appropriate controls are in place including but not limited to:
- Travel services to all staff in region
- Telephone/mails system
- Office tidiness (office general cleaning)
- Office equipment maintenance
5. Support field operation - Provide stock inventory /merchandising reports to RM /AM as well as communicate these reports to TMD division
- Manage and monitor stock ordering for Region
- Monitor stock return /exchange
- Handle stock /merchandising destruction by making necessary documents & taking part into this process (Monthly)

Yêu cầu ứng viên
- Previous experience as an administrator for a multinational company.
- Supervisory skills and experience.
- Good administrative and organizational skills with the ability to prioritize works.
- Customer’ focused work style
- College/university graduation
- Ability to work with number
- Good level of English writing and speaking ability
- Experience in MSWord, Excel spreadsheet & SAP processing
- Demonstrated ability to design administrative systems.
- Supervisory skills and experience.
- Good administrative and organizational skills with the ability to prioritize works.
