Accounting Analyst

JOB PURPOSE:
The purposes of this job are to:
• Perform financial accounting works assigned (general accounting, staff’s business expense claims, shared services expenditures, month-closing activities, …)
• Perform other tasks assigned by the Line Manager.

ACCOUNTABILITIES:

1. General Accounting
- Ensure all provisions have been made and posted accurately and timely.
- Deliver the posting of all accruals/reversal, payroll, prepayment accurately and timely.
- Ensure data integrity between Sub accounts and Ledger Accounting
- Perform monthly relevant balance sheet accounts reconciliation.
- Update account analysis in the accounting web (Blackline) tool with 100% accounts to be analyzed and submit analysis on time as per monthly schedule.
- Monitor and perform all allocation of prepayment account and deferred account
- Ensure to complete monthly closing report on time and meet other reporting requirements.

2. Staff’s Business Expense Claims:
- Check & verify the expense claims to ensure the compliance with the company policy: Carefully checked staff expense claims, the legality of invoices attached to make sure that they are in conformity with Manual of Authority, Company’s policies and to monitor balance due to/from staff & challenge back on unreasonable spending.
- Check legality of invoices (name, address, VAT code, amount, etc…) in align with Tax regulation
- Upload softcopies of e-invoice on SAPBYD system
- Check property authorization of the claims in line with company MOA.
- Prepare AP vouchers for the claims
- Post the vouchers into SAPBYD.
- Reconcile monthly balance in staff sub accounts and the ledgers: Ensure the clearance of outstanding expenses settled by company credit cards in due as per company policy.
- Timely allocate all the payments
- Engage with new employees in FIN onboarding about Expense Policy /T&E Claim.


3. Shared Services expenditures.
- Perform accounts payable of Shared Service Function.
-3-way payment document validation, payment vouchers, payment processing, prepare, review& post manual journal entries (MJEs).
- Manually prepare voucher, timely input and release payment for foreign contractor’s withholding tax WHT.
- Monthly book and process payment for SS WHT, PIT, License Tax.
- Take in-charge of intragroup/Oversea services charge: IT, HR, ER, EIS …
- Work with Local Tax Lead, focal points, oversea FO team to clarify services fee and process oversea payment.


4. Salary and Wages Accounting
- Check the authorization in monthly payroll sheets sent by HR
- Making monthly payroll entries (both Shell staffs & Contractors) and ensure coding accurately the cost centres, profit centres for all staffs.
- Keep hard copies of monthly salary payments confidential.
-Prepare vouchers for staff payroll and obtain authorized signatures for making payroll payments
- Ensure quarterly accruals of all staff costs (severance benefit, performance / retention / contractual bonus…). Completed on time for booking accruals for staff costs.
- Timely allocate all the payments on the actual staff costs (salary, SHUI insurance, personal income tax, performance bonus, Trade Union fee, contractual bonus…).
-Ensure the payment to Dong Nai Tax / Dong Nai Social Insurance Dept/Trade Union on time.

5. Others
- Tracking of Staff’s Advance accounts in the ledgers, Ensure all advance account clearance in due as per company policy.
- Prepare monthly allocation of prepayments and journalise the allocations and upload in SAPBYD:
- Assist auditors (internal, external, tax) on their sample checking and fill information in their required template: Provided data, documents and explanation for cost booking
- Ensure that implementation of GRM is sustained and that the systems and services around Record Management remain fit for purpose
- Perform testing for C&P and finance scenarios in the SAP BYD quarter upgrade
- Other tasks assigned by the Line Manager.

KEY CHALLENGES:
• Provide quality finance support to businesses in country
• Maintain a solid framework of business control and ensure compliance with Global and local requirements
• Fully meet payment deadline, careful verification of documents before payments.
• Well knowledge DS/ Corporate MoA and ensuring for compliance

JOB KNOWLEDGE, SKILLS and EXPERIENCE:
• Professional qualification in Accounting is required (University Degree or higher)
• At least 3-years experiences in accounting
• Strong knowledge of International and Vietnam Accounting Standard, taxation and regulations.
• Basic knowledge and experiences in ERP (SAP by design)
• Has good command of written & spoken English
• Able to work independently and under high pressure and workload
• Strong interpersonal skills as teamwork is essential
• Good in MS Excel
