We are seeking an Academic Administrative Assistant to perform administrative support duties common to academic teaching department of Fulbright School of Public Policy and Management (“FSPPM”).
Scope of Work:
The Academic Administrative Assistant will provide administrative support to the faculty of in their day-to-day activities at FSPPM. The position will be expected to report directly to the Dean of FSPPM.
Duties and responsibilities:
• Help to organize and conduct school’s meetings and events by securing space, equipment, food, preparing invitations, announcements, agendas, making travel arrangements and reservations, and assisting with the event as it occurs
• Attend and take minutes at various administrative and operational meetings as requested by the Dean
• Create, compose and edit administrative correspondence and documentation; prepare contracts, reports, letters, memos and other written correspondence and materials as directed by the Dean
• Assist staff and faculty in handling reimbursement of travel and other expenses
• Prepare and collect attendance sheets, and update absences in Google
• Follow up with Finance team on scholarship disbursement for MPP students
• Assist in the preparation of reports or special projects as requested
• Order office supplies from the Administrative department and distribute
• Serve as a liaison with other departments on administrative and operational matters
Other duties:
• Perform other duties as assigned by the Dean
• Contribute to team effort by welcoming new and different work requirements; explore new opportunities to enhance the services of the department; help others accomplish related job results as and where needed

Education
• Bachelor’s degree in any discipline
Experience
• At least 2 years of working experience at a similar position for a multinational organization
• Having working experience in a university is an advantage
Knowledge, Skills and Abilities
• Excellent verbal and written communication skills in both English and Vietnamese
• Excellent organizational capability and time management skills, highly organized multitasker who works well in a fast-paced environment
• High sense of customer service and interpersonal skills, including tact, discretion, empathy, and cooperation
• Ability to control emotions and remain calm at all time
• Positive contribution to the team and willing to take various tasks as required
• Willingness to problem-solve and propose more effective procedures and protocols for improving academic operations
• Proficiency in Microsoft Office
