Main responsibilities:
-Take printout order received from Sales Executive, check and match order, fulfill order form, add loss quantity and bulk sample, highlight information.
-Create contract on software. Cross check to ensure it match with original order and avoid wrong key-in.
-Send contract to customer to get confirmation and keep in touch with them to respond promptly their request.
-Input order in the system. Convert order to Order Acceptance on software after getting confirmation from customer.
-Check materials with warehouse. Send Order Acceptance to production team and discuss about ready date of to inform customer about delivery date of shipping sample and bulk quantity.
-Follow progress completed of orders. Revise order in system in case order changed. Delay delivery date with customer when order can't catch progress.
-Send shipping sample to customer before dispatching shipment if they request. Inform logistic team when orders can be dispatched.
-Report weekly orders list and shipments list.
-Update dispatched orders into system. Create invoices on software and inform accounting team invoice numbers.
-Maintain existing customers. Work with customer directly without Sales Executive when they book repeat order or order with normal product.
-Support internal departments to solve some issues arise with orders. Communicate with them for the arrangement of shipment.
-Work in team with Customer Service department to ensure the orders process being handled smoothly.
-Collaborate within team & another team to clear-off order pending daily.
